Creating Ibt S (Internal Branch Transfers) For Showroom

Overview

The purpose of this document is to make it easy for businesses that have showrooms to sell something from the showroom and quickly take the stock from either their warehouse or showroom to fulfill the customer's needs. While Savance already supports IBT’s (Internal Branch Transfers) for transferring stock from warehouse location to another warehouse location via PO, this will allow you to support sales from showroom and warehouse purchases all within the same order.

Creating a Showroom Warehouse

To begin you will need to create a Showroom warehouse account.

• Go to Admin> Administrator

  

• In the admin window select the ‘Warehouses’ tab.

  

• Next, select ‘New’ and enter the Showroom information. Make sure you also select ‘Showroom Warehouse tab at the top. By selecting this option you are:

  

• Once completed select ‘Add’ to save the warehouse. The new warehouse will appear in the list above.

  

Inventory In Showroom

Now that you have created a new Showroom location, it is recommended to do a cycle count of your inventory and add your availability to your materials within this location. Even Though this step isn’t necessary (you can just select ‘Internal’ on each line item, it will provide you with a true inventory valuation for your showroom.

An easy way to accomplish this is using the existing IBT functionality.

• Create a new RFQ

  

• In the header select’ Internal’ and enter the ‘ Showroom’ warehouse and select the correct warehouse in which you are transferring from. In this example I will be transferring out of the Commerce warehouse and into the Showroom warehouse.

  

• Next, continue by entering the material and counts into your PO based on your material counts in your showroom. Once you are completed - convert the PO. (NOTE: depending on the amount of material in your showroom you may have to do several POs to transfer)

• Once you are finished with your IBT you will need to receive the material into the showroom warehouse.

• Go into the receiver

  

• Select Fill All Items, Receive All Items, then ‘Put Away All Items”

  

• Finally, select Post then Put Away

  

• Finally, Save and Close.

• Your inventory has now been adjusted to reflect your true availability of what is in your showroom.

Placing an Order

Now that you have a showroom warehouse with the proper inventory, and availability (NOTE: you don’t need to do a cycle count.)

• Create a New Quote/Order

• Enter customer’s name and information.

• Make sure your warehouse selected for the order is the showroom warehouse.

  

• Go ahead and begin to enter your items within the grid.

• Your order can be a mix of items available in both your showroom and warehouse.

  

• For any items not available in your showroom that you want to pull from your warehouse select the ‘Internal’ checkbox on the line.

  

• Once selected the warehouse popup will appear for you to select the warehouse in which you want to transfer from.

  

• Once the warehouse is selected it will be added to the next column.

  

• Now that the warehouse has been selected you’ll now notice that the availability column will update with the warehouse's availability.

  

• Once completed with your order Convert.

• After the order has been converted the ‘Links’ tab will appear.

• This is to show you that automatically the order and IBT PO has been created.

  

• When the IBT PO from the warehouse to the showroom has been created Savance will automatically receive and put away the PO (aka move the inventory from the warehouse to the showroom.)
